**AECOM** is seeking an Executive Assistant to be based in Madrid.
The Executive Assistant will provide high level administrative support to the CEO in Spain and Sweden.
This position is based in our beautiful office in Madrid and requires a full-time dedication. We enjoy flexible working hours and some days of remote working.
+ Leads complex and diverse administrative assignments seeing them through from conception to completion.
+ Manages and maintains Executive’s professional calendar in Microsoft Outlook, including assisting the Executive with scheduling, within limits and at his/her discretion; applies understanding of executive's priorities in scheduling meetings.
+ Coordinates webcasts, conferences and/or events including meeting room reservations and logistics, A/V, and preparing meeting materials, in collaboration with other departments.
+ Meets regularly with the Chief Executive Officer to review status of projects/agenda; plan key events, meetings and upcoming travel; and prioritize open action items.
+ Creates and maintains correspondence, reports, or other necessary documents in response to and in anticipation of executive's needs.
+ Interacts and communicates with all levels within the company.
+ Anticipate business needs of this person, being proactive, troubleshoot problems and take initiative.
+ Coordinates and processes all travel arrangements, itineraries, and agendas; compiling documents for travel-related meetings and/or approvals in a timely manner.
+ Manage confidential information as needed.
+ Identifies opportunities for process improvement and recommends initiatives related to general business administration.
+ Perform other related duties as assigned.
We are looking to hire a professional who holds a Bachelor's Degree and, at least, 4 years of relevant experience.
Demonstrated excellent verbal and written **communication skills in English and Spanish,** both of them is essential.
+ Manages Executive’s professional calendar in Microsoft Outlook, including assisting the Executive with scheduling.
+ Really good in Microsoft Word, Excel, Outlook, and PowerPoint.
+ Experience managing multiple and changing demands and details.
+ Demonstrated experience managing confidential information.
+ Previous experience working in an international company will be a plus.
