The purpose of the role will be to provide a first-class front of house service, assisting with admin duties, overseeing the day-day functioning of the reception. In this role you will work closely with Senior management, Housekeeping, Facilities, and project admins. Your main responsibilities will be: To provide exceptional first-class service and to be the main point of contact to all external and internal visitors To work as part of the Hospitality team to ensure exceptional service to the practice’s clients and staff members. To occasionally help host internal and external events. To oversee the day to day running of the practice’s Reception over the two sites To manage the reception rota and delegate tasks each day To be supportive of the reception team during busy periods, taking the lead on the coordination and planning of upcoming work To uphold the required standards of the reception team and area, addressing any issues, escalating where necessary To provide training and guidance when needed to current and new reception staff. To act as the main point of call for all reception related matters To keep the reception handbook up to date, making any additional changes or improvements To be responsible for overseeing the management/ updating of the meeting rooms and Gallery calendar To be able to provide an introduction to the company and gallery exhibitions when needed. Responsible for keeping project information up to date and on hand to share with visitors. To help maintain and monitor the presentation of the gallery space and the exhibition contents ensuring they are all kept to a high standard (including but not limited to the screen content, lighting settings, arrangement of furniture, instructing the gallery cleaners, signage, speakers and the arrangement of gallery leaflets, books, and accessories To book and conduct both public and private tours. To oversee/ manage the booking and organising of CPDs. To help facilitate special projects in the office including photographers, film crews and logistics for special events. To ensure compliance with all company policies, procedures, and guidelines within Reception To be a Fire Marshall and First Aid officer in the office About you: Experience and Technical Skills required: Mid to Senior level experience required in an administrative, client facing, Front of House reception role with knowledge of cultural awareness and etiquette for dealing with high profile visitors or callers to the office. Proficient in MS Office suite (diary management, email correspondence) and Outlook calendar management Knowledge and appreciation of architectural, art and design fields (desirable) Fluent in English, other languages are desirable. Exceptional etiquette including phone manner and empathy in dealing with clients and staff from all cultural backgrounds. Confidence and ability to represent the Practice appropriately in both manner and personal appearance. Reliable and punctual with exemplary time management skills Organised and calm in a highly pressured environment.
