The successful candidate will provide comprehensive administrative and operational support for our St. Louis office. Due to the nature of this role, this position will be performed primarily onsite in the St. Louis office. We will consider filling this job with a full-time or part-time schedule. Must be available to work in the office Monday – Thursday and to provide occasional coverage for office events in the evenings and on weekends as needed.
**HERE'S WHAT YOU'LL DO**
- Independently handle moderately complex administrative activities under general direction and support of office leadership.
- Manage office space as well as conference room bookings; maintain room set-ups (equipment, furniture placement, etc.); ensure lobby and common areas are neat.
- Assist in project management, as needed by various architectural and design teams.
- Collaborate with HR and IT to coordinate new hire orientation.
- Monitor building entrances and grant entrance to visitors.
- Provide reception desk coverage including answering phones, granting building access, and greeting visitors in a courteous and professional manner.
- Provide parking validation and process parking payments.
- Screen incoming calls and route them to the appropriate team member.
- Coordinate in-house and off-site meetings and events, including calendar invites, meeting materials, equipment set-up, and ordering and set-up of food and beverages.
- Maintain office supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing orders, and verifying receipt of supplies.
- Prepare outgoing mail; receive, sort, and distribute incoming mail and packages.
- Create, maintain, retain, and/or store files in accordance with firm standards.
- Assist in the review and approval of employee expense reports and reimbursement requests.
- Maintain office PTO calendar.
- Organize office-wide special projects such as blood drives, flu shots, etc.
- Handle other responsibilities as needed.
**HERE'S WHAT YOU'LL NEED**
- High School Diploma and a minimum of four years of related experience working as an Administrative Support professional required. An Associate's degree is a plus.
- Experience working in a professional services firm preferred.
- Excellent verbal and written communication skills.
- Strong attention to detail and focus on accuracy with work is a must.
- Ability to work in a highly collaborative and deadline-driven environment.
- Advanced skills in Microsoft Word, Excel, Outlook, Teams, and PowerPoint required.
- Positive, can-do attitude and willingness to dive into projects and tasks.
- Ability to lift up to 30 pounds.
