We have a brand-new opportunity in our Bath Studio for an experienced Facilities Coordinator to support the Studio Manager and IT Partner. You will be the first point of call for ensuring our facilities are running smoothly and effectively.The role will encompass coordinating all aspects of facilities, including and not limited to:General Premises & Resources• Regularly review and maintain third-party vendor, supplier and contractor documentation• First point of contact for welcoming contractors to the studio• Project manage the work of appointed contractors as directed• Research and recommend new third-party suppliersHealth, Safety and Environment• Understanding of health and safety regulations and the application of these in the studio• Work closely with the Studio Manager on compliance and safe working practices• Ensure safe disposal of waste from the studio• Ensure that health and safety items are maintained (firefighting equipment, signage, First-Aid boxes etc)• Attend regular meetings as part of Health and Safety group and be involved in strategic initiatives• Support the Studio Manager with promoting a positive health, safety and wellbeing culture within the studio.Audio Visual Meeting Room Equipment• Responsible for checking audio-visual equipment daily (3 meetings rooms)• Responsible for setting up office meetings alongside the Comms team• Assist with positioning mobile touch screens, and troubleshooting any issues• Identify and report audio-visual/meeting room problems to appropriate third-party provider (IT Support) working together to resolve issues.• Train users on how to operate AV meeting room equipment, and mobile touchscreensPrinters• Work with service provider to resolve and printer related issues• Help staff with print issues and general troubleshooting• Provide light maintenance for the studio printersIT & mobile phones• Ensure mice, keyboards, headsets chargers and cables are kept in stock, along with a small stock of spare laptops (configured by our IT provider)• Support with simple computer problems as required• Support the Quality Manager with preparation of claims for lost, stolen or damaged computer equipment• Order new mobile phones and manage recording of supply and stock• Liaise with mobile phone third-party repair partner to repair broken mobile phones.About you - key requirements• Previous relevant experience – to be demonstrated on CV• IT savvy, with good working knowledge of MS Office (particularly Excel)• Full clean driving licence• Strong organisational and communication skills• Ability to remain calm under pressure• Knowledge of facilities, and health and safety management• Knowledge of quality standards considered advantageous• Familiarity with project management considered advantageousThis is a new permanent positionDue to the nature of this role, it will be based on-site full-time working Monday-Friday 8.30am-5.00pm. Some evening and weekend work may be required with prior agreement.
