As a Gensler Office Coordinator, it’s your job to maintain and support operations of the office and leadership team. As the face of the office for internal team members and external visitors, you will provide a concierge level service for an unparalleled experience. This person will be an important part of our team, taking ownership of key areas of our office, supplies, events coordination assistance, and facilities assistance. What You Will DoPerform facilities management duties including coordination of office furniture and equipment, managing inter-office moves, serving as principal contact with building management for maintenance and security issues, and collaborating with regional finance on budget related issues.Maintain conference rooms, pantry, sample library, and front desk areas.Collect mail from mail room; receive packages and deliveriesProvide coverage of the reception desk during business hours Ordering & stocking day-to-day office item (Stationary, snacks, coffee, tea, kitchen supplies etc.)Prep for client meetings (water, coffee, catering, room set up and take down)Coordinate and support external visitors (key card access, desk booking)Support planning and booking for internal and external office eventsSupport IT/AV and printers as required and coordinate with regional resourcesProvide administrative support for more complex tasks to relieve studio managers or staff of administrative details. May coordinate calendars, appointments, information to/from callers, file maintenance, office and other supply orders and mail.Prepare basic to moderately complex reports.May perform basic research and/or analytical tasksSupport the Office Managing Director with basic tasks (expenses, travel booking)Assignments can range from routine to moderately complex in nature. Some work may follow established procedures while other tasks require deviation from standard practice necessitating discretion and judgement.
