As a one of our Studio Coordinators, you will join our San Francisco Office Experience Team, providing administrative support to teams of industry-leading designers and architects. You're at the heart of your studio’s activities and a force that supports your studio to feel engaged and connected. Studio Coordinators act as an ambassador for their studio and a liaison between their directors/principals and many others. The Studio Coordinators exist as part of a larger team across the office, working in alignment to support the office needs at large – while also focusing in on your specific studio assignments. What You Will DoSupport Studio Directors and Principals with all administrative needs, including scheduling of meetings, answering phones, travel arrangements, expense reports, correspondence, etc.Assist Studio Director with operational aspects of running the studio including but not limited to organizing studio meetings, staffing, financial tracking, timecard collection, PTO tracking and proposal/presentation preparation.Support the Office Experience Team with office wide initiatives, events, organization, culture, processes, and systems. Engaging in office culture, planning studio retreats, outings, and celebrations.Use your graphic design skill set to create presentations.Tracking calendars, budgets, and expenses.Maintaining a clean, organized studio spaces. Physically and digitally.Managing daily communications with internal and external parties.Serve as back-up for reception occasionally and other support/stand in for other Studio Coordinators. Daily operations including light IT support, creating and editing presentations, meetings and events setup and cleanup, timesheet management, and other administrative duties as required. Your Qualifications3+ years of experience in an administrative capacityHigh School diploma or equivalent required; Associates or Bachelors degree preferredMicrosoft Office experience a mustCandidate should be well organized, thoughtful, detail and service oriented. In addition, candidates should be able to take ownership of tasks and exhibit a high level of initiative and follow-through in a dynamic environment.Graphic design knowledge is helpful. Adobe Suite/InDesign experience a plusYou love helping people, with a hospitality mindsetExperience managing multiple calendars in OutlookProficient in booking complex travelComfortable helping with expense reportsProven attention to detail, with excellent organizational and technical skillsMust be able to determine priorities, take ownership of tasks, and exhibit a high level of initiative and follow-throughEstablished success working on multiple tasks/projects as the same timeStrong people skills.
