Document Controller Role at Prestigious Architecture Firm
An esteemed architecture firm is seeking a dedicated Document Controller to join our Drawing Office team. This vital position plays a key role in ensuring project information is managed efficiently, supporting the firm's commitment to excellence in design and project delivery.
Role Overview:
- Job Title: Document Controller
- Location: Based in our central office, with flexible working arrangements available.
- Reporting To: Drawing Office Manager, Document Services Manager, and ultimately to the Chief Financial Officer.
Key Responsibilities:
- Efficient and accurate registration and issuance of correspondence, drawings, reports, specifications, and schedules.
- Utilize the DM system (Newforma) for distribution of project documents to clients and contractors in both electronic and hard copy formats.
- Assist with contract management aspects, including registration of submittals and RFIs within the Newforma workflow.
- Coordinate the preparation of documents for issue dates and maintain accurate project milestone records.
- Promote and implement the firm's standard information exchange protocols.
- Maintain comprehensive compliance with the firm's procedures and standards, emphasizing equity, diversity, and inclusion in all operations.
Qualities and Skills Required:
- Demonstrable experience in document control or related field, preferably within the architecture or construction industry.
- Legal eligibility to work in the specified location.
- Exceptional organizational skills, with the ability to manage sensitive information discreetly.
- Proactive, self-motivated, and capable of taking responsibility and showing initiative.
- Excellent communication skills, both written and verbal, with fluency in English essential.
- Proficiency in Microsoft Office applications and familiarity with various extranet sites used for document control.
- A flexible, team-oriented approach, capable of building strong internal and external relationships.
