An exceptional communicator and self-starter, you own and manage aspects of office operations that allow leadership to focus on strategic matters.As an Executive Assistant for the Baltimore team, you will be a chief problem solver and ambassador with an integral role in daily business interactions. Embracing your passion for people and entrepreneurial spirit, you will provide executive support to the Office & Studio Managing Directors and partner with other office team members. You will be responsible for connecting and collaborating with key teams in support of our clients as an influential contact for internal and external relations.Typical administrative responsibilities such as expense reports, travel planning, phone messages and calendar jockeying are important in this role; but this job is so much more! As the “face” of our office leadership, your professionalism, loyalty, and attitude are a reflection of the office and region, and as such, are a key component to its success. You will never be bored, and you will constantly be challenged as no two days are the same.What You Will DoExtensive calendar and time management for two office directors; ensure that leaders are on time and prepared for meetings; consistently review calendar for changes, continually monitor and manage conflictsCoordinate detailed travel reservations and ensure that changes or problems are resolved and communicatedPrioritize and manage multiple projects simultaneously and follow through on issues in a timely mannerPrepare both routine and confidential correspondence, reports, presentations, and other complex documentsAttend meetings, as appropriate, to stay informed and abreast of current projects, events, and general pulse of the firmCompile and submit accurate expense reports and reconcile credit card statements monthlyAnswer and direct incoming calls for leadersInteract with Salesforce reporting software, and other internal databases as neededPartner with office and studio leadership to execute daily business operations, including handling of confidential organizational informationOwn and manage all-staff office meetings: create and maintain schedule;  work with office leadership to develop agendas; take appropriate notes; manage action and follow up itemsCoordinate schedules for signing and sealing drawings for the officeInterface and coordinate with Marketing on collateral creationSupport the planning and execution of office events led by Office CoordinatorYour QualificationsAbility to work from 8:30am-5:30pm Monday through Friday in the office Microsoft Office proficiency is a mustProficiency with InDesign, Photoshop, Illustrator, Bluebeam, Miro and Salesforce is preferredExperience managing multiple calendars in OutlookProficient in booking complex travelEvent planning experienceStrong customer service backgroundMust be able to determine priorities, take ownership of tasks, and exhibit a high level of initiative and follow-throughEstablished success working on multiple tasks/projects at the same timeExceptional communication and relationship management skillsProactive by nature and curious to learn more about our business5+ years’ of relevant experience, 2+ years’ in an Executive Assistant roleAction-oriented and a strong critical thinker with a desire to learnOrganized and detail-oriented with the ability to prioritize tasks to meet multiple deadlinesGeneral knowledge of office operations preferredExcellent verbal and written communication skillsAbility to interact effectively and professionally with all levels of managementDemonstrate initiative and planning; capable of anticipating a manager's needs and staying "two steps ahead"Strong problem solving, prioritizing, organizational and time management skillsAbility to work independently with minimal guidanceCalm demeanor; capable of consistently maintaining a high level of composure, confidentiality, and job focusBachelor's degree preferred*This role is not remote; we look forward to working with our new team member in our incredible Baltimore office. *Samples of graphic design work experience must be uploaded to the application in order to be considered for this role.Life at GenslerAt Gensler, we are as committed to enjoying life as we are to delivering best-in-class design.
